1. Who this applies to

This Privacy Policy covers Lencop Campus (the software available at app.lencop.com and any *.app.lencop.com subdomain), a product of Lencop Technologies Private Limited ("Lencop", "we", "us"), headquartered in Kolkata, West Bengal, with a branch office in Rourkela, Odisha. Lencop Campus is used by coaching centres and schools ("Institutes") to run attendance, fees, examinations, communication and related administrative work, and by the people connected to an Institute — its staff, students, and students' parents or guardians.

2. Who is responsible for what

An Institute that signs up for Lencop Campus is the data controller for the information it enters about its own students, staff and their guardians — it decides what to record and who at the Institute may see it, and it is responsible for having a lawful basis to collect and process that information under applicable law, including any consent needed from a parent or guardian for a student who is a minor.

Lencop acts as the data processor: we host the software, store the data the Institute enters, and process it only to provide the service and as this policy describes. Lencop is the data controller only for the Institute's own account and billing information — the name, email and phone number of the person who registers the Institute, and records of what the Institute has paid us.

3. What we collect

Depending on how an Institute uses the product, this can include:

  • People — name, date of birth, gender, photograph, phone number, email address, address, and (for a student) their guardians' contact details.
  • Academic records — enrolment, attendance, marks, exam results, homework, timetable, certificates and report cards.
  • Fees and payments — invoices, payment records and receipts for fees collected by the Institute, processed through the Institute's own Razorpay account. We do not store card numbers or bank credentials — those are handled directly by Razorpay.
  • Government identification — where an Institute chooses to record an ID number (for example, on a student's admission file), it is encrypted before storage (AES-256-GCM) and is readable only by the Institute's own administrators, never by us or by any other Institute.
  • Staff records — employment details and, where recorded, salary information, visible only to the Institute's own admin.
  • Communication — messages sent through the in-app chat, notices, and any AI doubt-bot conversation a student initiates.
  • Account and usage data — login activity, IP address, and the device/browser used to access the service, kept for security and troubleshooting.

We do not collect biometric data (no fingerprint or facial-recognition attendance), and we do not sell any of the above to anyone.

4. How we use it

We use this information to:

  • Provide the service the Institute has signed up for — attendance, fees, exams, communication, reporting and the other modules the Institute's plan includes.
  • Send notifications the Institute or its users trigger or subscribe to — for example, an attendance alert, a fee reminder, an exam result, or an announcement — by email, SMS, WhatsApp, push notification or in-app message, depending on what the Institute has configured.
  • Bill the Institute for its plan, and communicate with the Institute's administrator about their account.
  • Keep the platform secure, investigate misuse, and maintain backups so an Institute's data survives a server failure.
  • Improve the product — we look at how features are used in aggregate; we do not read a student's private messages or a staff member's salary record for this purpose.

5. How students, staff and guardians are added

Lencop Campus is not a self-service sign-up for students or parents. An Institute's administrator or staff creates accounts for its teachers and students (or approves a self-registration request the Institute has enabled), and adds guardian contact details as part of a student's record. Anyone the Institute adds in this way should be informed by the Institute — as their school or coaching centre — about how their information will be used, in line with this policy and any notice the Institute itself gives them.

6. Where your data lives, and how it is protected

  • Lencop Campus is hosted on infrastructure we operate ourselves — not resold through a third-party cloud reseller — with each Institute's data isolated from every other Institute at the database level (row-level security), so one Institute can never read another's records.
  • Government ID numbers and any payment/messaging provider credentials an Institute stores are encrypted at rest.
  • Passwords are never stored in plain text.
  • We take nightly backups. An Institute can request a full export of its own data at any time, and can request permanent deletion of its account — which we carry out, though a downloaded backup should be taken first, since deletion cannot be reversed afterwards.

7. Who we share data with

We do not sell personal data. We share it only with:

  • Payment processors (Razorpay) — to collect fees on the Institute's behalf and to bill the Institute for its Lencop Campus plan.
  • Messaging providers — SMS/WhatsApp gateways the Institute itself connects, used only to deliver the notifications the Institute has enabled.
  • AI providers — where an Institute enables AI features (for example, generating question papers or answering a student's doubt), the relevant text is sent to the AI provider configured for that feature, using the Institute's own connected account. We do not use this content to train our own models.
  • Law enforcement or a court — only where legally required.

8. Cookies

app.lencop.com uses one essential cookie to keep you signed in. We do not use third-party advertising or tracking cookies on the product itself. lencop.com, our marketing website, uses standard analytics cookies as described in its own privacy policy.

9. Your choices

A student, parent or staff member who wants their information corrected, or wants to know what an Institute has recorded about them, should contact that Institute directly — they hold the account and can act on the request fastest. A student can also ask their Institute for a correction directly inside Lencop Campus. An Institute's administrator can reach us at info@lencop.com for anything that needs our help, including a full account export or deletion.

10. Changes to this policy

If we make a material change to this policy, we will update the date above and, where the change is significant, notify Institute administrators. Continued use of Lencop Campus after a change means you accept the updated policy.
